This is purely for entertainment value and there is no lesson...&lt;br /&gt;&lt;br /&gt;Well, if I had to come up with a lesson for you fellow Church Secretaries out there, it would be this:&lt;br /&gt;&lt;strong&gt;&lt;/strong&gt;&lt;/p&gt;&lt;p&gt;&lt;strong&gt;Life is not a dress rehearsal. Enjoy it!!! There ain't no "do-overs" and we ain't practicing. (Yes I said ain't...TWICE.) Don't be so busy with ministry that you miss life's simple pleasures.&lt;/strong&gt;&lt;br /&gt;&lt;/p&gt;&lt;p&gt;Yep... that's my lesson.&lt;br /&gt;&lt;/p&gt;&lt;p&gt;Enjoy this really STUPID video :).&lt;br /&gt;&lt;/p&gt;&lt;p&gt;&lt;b&gt;Oh, and take a minute to comment below the video and let me know what makes you happy. So many people depend on us.  Everybody thinks we know EVERYTHING... and in most cases, we HAVE TO know everything. &lt;br /&gt;&lt;br /&gt;Hebrews 10:35 tells us not to get weary in well doing because in due season we will reap if we don't faint.&lt;br /&gt;&lt;br /&gt;I have to be honest... there have been times when I have wanted to faint... to walk out and say forget it.  I was tired of my phone ringing.  I love people, but I'm not really a "people" person by nature... I am ok with being a "loner" so to speak.  And there are times when I feel like I am on "people overload."&lt;br /&gt;&lt;br /&gt;It's during these times that having the ability to focus on our assignments or calling in ministry is key.  &lt;br /&gt; &lt;br /&gt;It is during these times that we have to be able to go the distance.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;Be Content In Your Assignment &lt;/strong&gt;&lt;br /&gt;This is important if you are going to be successful in your career calling.  Whether you feel like God "called" you to ministry or not, it is important that you are settled on the fact that you are not where you are by mistake.  When you settle this, you will not be distracted by things that don't matter.  Things that can contaminate your commitment and your focus.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;Don't Get Trapped By Offense&lt;/strong&gt;&lt;br /&gt;This is a big one.  Sometimes the job we have can be a thankless one.  It seems as if we work and work and nobody says thank you or appreciates what we do.  &lt;strong&gt;And they always want more!&lt;/strong&gt; The Bible encourages us to work as unto God and not man.  This is so important.  It's only natural to want appreciation from your Pastor and those you work hard for.  And you should be appreciated, however if no one ever says thank you, you must remember that God sees your work and He is faithful to reward you.  &lt;br /&gt;&lt;br /&gt;The "opportunities" to be offended are numerous... don't take the bait.  It will only cause you to become unhappy in your job... mole hills will become mountains.  Your heart will become contaminated and you will become less and less effective in your calling.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;Don't Become Too Common&lt;/strong&gt;&lt;br /&gt;When we build relationships with people and become comfortable with them, we begin to see one another's flaws.  It is only natural to become close to our Pastors as we work for them and with them so closely.  In so doing, we tend to see their flaws.  It's hard not to notice if they have a tendency for disorganization or procrastination or maybe not handling some situations as we think they should.  It's hard not to form our own opinions and "secret" assessments.  Yet and still, in the midst of it all, there is a line that can't be crossed.  Pastor is always Pastor.  His/her word is the final word.  Having this understanding will keep your heart from "turning" when things don't go your way.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;Remember Your Purpose &lt;/strong&gt;&lt;br /&gt;Remember that your purpose for being where you are is to assist your Pastor in getting the Gospel to the world.  Bottom line, your job is to make his/her job easier.  At the end of the day, this is what matters.  As long as you are doing this, you are fulfilling your purpose as your Pastor's assistant.  And that's what's important.&lt;br /&gt; &lt;br /&gt;This is what going the distance is all about.  In ministry, there are not many people who are truly willing to do what it takes to go the distance.  Remember, your labor is not in vain.  God is faithful.  He sees your heart and your sacrifice of service (the times when you barely have time to take care of your business for taking care of ministry business). We'll cover the remaining seven suggestions for effective commuincations. &lt;br /&gt;&lt;br /&gt;First, though, here is something to consider when communicating to a group of people. You can use comparisons to ensure that everyone understands. Jesus was the Master of parables. Follow His example to get your point across. You can also restate your important ideas in different words or use illustrations and specific instances of something similar to what you are trying to convey.  Remember, your goal is to be understood and not just heard.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Now, here are my remaining 7 suggestions for effective communication:&lt;/strong&gt;&lt;br /&gt;&lt;ol&gt;&lt;br /&gt;&lt;li&gt;Respond in an interested way that shows you understand what is being said&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;&lt;li&gt;Ask others for their views or suggestions&lt;/strong&gt;&lt;br /&gt;&lt;br /&gt;&lt;li&gt;State your position clearly and be specific &lt;br /&gt;&lt;br /&gt;&lt;strong&gt;&lt;li&gt;Communicate your feelings but don't act them out (attack the problems, not the people &lt;/strong&gt;&lt;br /&gt;&lt;br /&gt;&lt;li&gt;Be as descriptive as possible&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;&lt;li&gt;Don't totally control conversations, acknowledge what others are saying, and don't interrupt them &lt;/strong&gt;&lt;br /&gt;&lt;br /&gt;&lt;li&gt;Decide on specific follow-up actions with specific due dates and make sure all parties agree &lt;br /&gt;&lt;/ol&gt;&lt;br /&gt;In our career we may spend over 75% of our time talking to and dealing with people. It is no surprise to find that at the root of a large number of our challenges is poor communication. Effective communication is an essential component of our success. &lt;br /&gt; &lt;br /&gt;It is no longer acceptable to hide behind our deficiencies. Learning to communicate well with others is critical if we are to be successful in getting our jobs done in excellence. As distasteful as it may be, it is necessary. &lt;br /&gt; &lt;br /&gt;Remember, small changes produce great results. This sounds simple, but it gets overlooked so many times. &lt;br /&gt;&lt;br /&gt;Possibly, the reason you got result B rather than result C from Bro. Jones was because you did not make what you expected of him clear...to him. For example, "Call Mr. Palmer and get his travel requirements" is not as clear as "Call Mr. Palmer and get his travel requirements. And please do this before next Tuesday." This makes the difference between whether you get your information next week or in 2 weeks. It saves you having to call Bro. Jones on next Tuesday asking for your travel information and hearing him say "I didn't know you wanted it by today." And you save yourself from the "I should have done it myself" trap. &lt;br /&gt; &lt;br /&gt;If there is one thing that I have learned, it is that communication is not just you talking. What I mean is that if the person you are talking to does not grasp what you are saying, you have not really communicated your point. The goal of communication should be mutual understanding and not just to spout out a bunch of information. &lt;br /&gt; &lt;br /&gt;When communicating with volunteers, co-workers, or vendors you should confirm everything. According to Mike Murdock, you should be wary of people who never carry paper and a pen or never make the attempt to get paper and a pen when communicating with you because they trust and rely on their memory and they want you to do the same.&lt;br /&gt;&lt;br /&gt;You should also be wary of people who don't ask additional questions about an assignment or instruction because few instructions are complete at the beginning. When people don't ask additional questions about an assignment, they are not giving any thought to it. Lastly, avoid people who always reply to your requests with "I will try to get to it" because they will never get to it.&lt;br /&gt;&lt;br /&gt;If you are this person, get yourself together quick. When given an assignment you should be asking questions like "Is there a deadline?" or "When do you need to have this budget completed by?" or "Is there anything else I should know about this project?" &lt;br /&gt; &lt;br /&gt;Skill in communication involves a number of specific strengths. Strength in listening is vitally important. The following list provides some suggestions for effective communication:&lt;br /&gt;&lt;ul&gt;&lt;br /&gt;&lt;li&gt;Give your full attention and fight distractions &lt;br /&gt;&lt;strong&gt;&lt;li&gt;Listen openly, with empathy for others &lt;/strong&gt;&lt;br /&gt;&lt;li&gt;Ask, repeat or rephrase what is being said to make sure you fully understand&lt;br /&gt;&lt;strong&gt;&lt;li&gt;Judge the content, not the messenger&lt;/strong&gt;&lt;br /&gt;&lt;li&gt;Pay attention to non-verbal cues and body language&lt;br /&gt;&lt;strong&gt;&lt;li&gt;Ask the other person for as much detail as she can provide&lt;/strong&gt;&lt;br /&gt;&lt;/ul&gt;&lt;br /&gt;This was an excerpt from chapter 4 of my &lt;a href="http://www.churchsecretaryessentials.com/cse_mod101.cfm"&gt;Basic Training 101 manual&lt;/a&gt;. With so many people needing to be touched with the love of God in our world today, &lt;strong&gt;our churches are always busy with various projects...&lt;/strong&gt; whether outreach to the community, special events for members, children's services... (the list can go on and on).&lt;br /&gt;&lt;br /&gt;Our pastors are always in need of our encouragement, support and, probably more importantly, our commitment to getting our jobs done with excellence.&lt;br /&gt;&lt;br /&gt;With so many projects going at the same time, getting a handle on them can be difficult.  Here's my 5 step formula for getting projects done.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;1. Begin with the end in mind&lt;/strong&gt;&lt;br /&gt;Begin each project with the end in mind.  Picturing what you want your end result to be will help you create a clear cut action-plan for completing the project.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;2. Set project goals and milestones with deadlines&lt;/strong&gt; &lt;br /&gt;Every project should have goals.  Some are large, while others will be small.  Each goal or milestone should include a deadline for completion. For example, if you are planning an outreach concert, one of your major goals would be to secure your venue... and you definitely need a deadlien for that.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;3.  Write everything down&lt;/strong&gt;&lt;br /&gt;Don't forget the importance of writing everything down.  Trying to do things by memory is a recipe for disaster.  There will be something that you won't remember.  For every project I start I use an extensive checklist (a sample of the checklist I use when working on our yearly youth conference is inlcuded with my Basic Training 101 book and my Basic Forms Pak).&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;4.  Organize and de-clutter&lt;/strong&gt;&lt;br /&gt;This is pretty self explanatory.  When my office is organized, it just seems to lower my stress levels.  I don't feel so "wound up" all the time.  One thing that I use to keep my projects organized is a simple 2" binder.  I call it my 2008 Proejcts Binder.  It is divided into sections with tabs and my sections inlcude Items to Do Today, Women's Conferencd 2008, Letters Needing Response, New Speaking Requests, plus a few others.  This helps me keep all of my current projects completely organized.&lt;br /&gt; &lt;br /&gt;&lt;strong&gt;5. This person came in asking for this and that person called wanting me to drop everything and help them do something else.By the end of the day, my to-do list is longer than it was when I started!Does this sound familiar?&lt;br /&gt;&lt;br /&gt;I have a theory. Most of the time, we are just being busy... we are not accomplishing the really big things that we set out to do at the start of our day. This happens for many reasons. It's so easy to get distracted. And what happens is that we end up missing deadlines or feeling overwhelming pressure to finish something at the last minute.&lt;br /&gt;&lt;br /&gt;I have a vaccine for the busy-but-not-productive bug...&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Single Handle Every Task&lt;/strong&gt;&lt;br /&gt;This means that when you are working on updating the membership database, don't get distracted by incoming email, phone calls, or chatty co-workers. I recently read that when you concentrate on one task, single-mindedly, without distraction, you can get the job done 50% faster! And that starting and stopping a task can increase the time it takes you to finish it by 500%. Enough said.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Avoidance Doesn't Pay Off&lt;/strong&gt;&lt;br /&gt;Avoiding big or what we may consider hard tasks doesn't make them go away. I actually think it makes it harder for you to concentrate on what you are doing in its place. Instead of being able to focus your attention completely on the substitute task, you keep thinking about what you have to do to finish the "big one" and your productivity actually decreases. On the flip side, starting and finishing the big task will psychologically strengthen your resolve to get tackle the rest of your tasks.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Move Past Your Mistakes&lt;/strong&gt;&lt;br /&gt;&lt;br /&gt;When you make a mistake... and we all do... don't beat yourself up about it. Accept responsibility for the outcome. Figure out what went wrong. Create a system to make sure it doesn't happen again. It's that simple.&lt;br /&gt;&lt;br /&gt;Don't be fooled by busyness. It is not the same as being productive. For sure I'm not gonna want to wake up in the morning and hit the treadmill.  I just downloaded season one of &lt;i&gt;Samantha Who?&lt;/i&gt; to my iPod so maybe that will help motivate me. &lt;b&gt;I hate that it takes so long to build up your endurance when exercising and one week of lounging around seems to take you back to ground zero (grimace)! A deadline acts as a "forcing system" in your subconscious mind. It motivates you to do the things necessary to make your goal come true. If it is a big enough goal, set sub-deadlines as well. Don't leave this to chance.&lt;br /&gt;&lt;br /&gt;Make A List&lt;br /&gt;===========&lt;br /&gt;Fourth, make a list of everything that you can think of that you are going to have to do to achieve your goal. When you think of new tasks and activities, write them on your list until your list is complete.&lt;br /&gt;&lt;br /&gt;Organize Your List&lt;br /&gt;==================&lt;br /&gt;Fifth, organize your list into a plan. Decide what you will have to do first and what you will have to do second. Decide what is more important and what is less important. And then write out your plan on paper, the same way you would develop a blueprint to build your dream house.&lt;br /&gt;&lt;br /&gt;Take Action&lt;br /&gt;===========&lt;br /&gt;The sixth step is for you to take action on your plan. Do something. Do anything. But get busy. Get going.&lt;br /&gt;&lt;br /&gt;Do Something Every Day&lt;br /&gt;======================&lt;br /&gt;Do something every single day that moves you in the direction of your most important goal at the moment. Develop the discipline of doing something 365 days each year that is moving you forward. Think about all of the people you deal with on a daily basis and count how many of them actually follow through on what they tell you, complete projects &lt;b&gt;entirely&lt;/b&gt;, or even just make effort to do things with attention to detail and excellence.&lt;br&gt;&lt;br&gt;You can probably count them on one hand!&lt;br&gt;&lt;br&gt;&lt;p&gt;When it comes to your work, you can't be one of these people. Nobody is going to do your work for you. If you don't take the time to take a class, read a book, watch a video... get the training you need to become better, &lt;b&gt;I repeat... nobody is gonna do it for you.&lt;/b&gt;&lt;p&gt;I'm not saying this to imply that you don't do a good job. Not at all. I am saying that it's going to take a concerted effort on your part to make things happen. Your office will not organize itself. Your Inbox won't empty itself. Your Pastor is counting on you to have the "get-up-and-get-it-ness" factor.&lt;p&gt;As much as I wish I didn't have to return phone calls... &lt;b&gt;I'm a secretary who hates telephones (smile)...&lt;/b&gt; but as much as I wish I didn't have to return phone calls, I have to push myself to do it. I have to push myself to file... by the way, I hate filing too (big grin)... I breeze through the things I like, but I have to push myself through the things that I don't because I know that nobody is gonna do them for me.&lt;p&gt;&lt;b&gt;How do I do it?&lt;/b&gt;&lt;p&gt;I focus on the fact that doing my part, with excellence, helps my (boss)Pastor do what she needs to do. Simple as that. If there is something that I don't know how to do, I find a book, I search the Internet, I do what it takes to get better understanding. And nobody has to make me do it.&lt;p&gt;I understand that I have to care enough to make it happen. &lt;b&gt;Even when I'm tired, have worked all day, have solved everybody else's problems and don't want to be bothered,&lt;/b&gt; I make a point to read at least 2 chapters in a book or watch a video online.&lt;p&gt;Let me be your encourager. Let me push you. Don't just say, I'm not good with computers and leave it at that. Don't just say, I hate reading. Don't just say I can't write well.&lt;p&gt;In part, that &lt;b&gt;is&lt;/b&gt; why I'm here... to provide the push you need to take yourself to the next level, but don't just settle for the status quo.&lt;p&gt;&lt;b&gt;The "get-up-and-get-it-ness" factor...&lt;/b&gt; develop it, cultivate it, nurture it. So they brought the Israelites an evil report of the land which they had scouted out, saying, The land through which we went to spy it out is a land that devours its inhabitants. There we saw the Nephilim [or giants], the sons of Anak, who come from the giants; and we were in our own sight as grasshoppers, and so we were in their sight."&lt;/i&gt;&lt;/font&gt;&lt;br&gt;&lt;br&gt;Having the right perspective is vitally important if we are going to be successful, not just in our careers, but in our very lives.  When the 10 spies searched out the Promised Land, the perspective of 8 of them was so negative, it kept them from receiving something God had &lt;b&gt;ALREADY&lt;/b&gt; promised them.&lt;br&gt;&lt;br&gt;Check your perspective.  Are you overly sensitive to your pastor's comments?  Do you feel like everybody is out to get you and nobody likes you?  Do you even think more highly of yourself than you should?  Are you dreading a project because you think there is no way you have the skills to get it done?  Change your perspective.  See yourself, your work, your ability as God sees you.  See yourself as competent and more than able to handle the assignment that has been given to you. Being organized means you're using a structured system that allows you to find everything you need when you need it, and you get everything done when it's due--without frustration, chaos or stress.&lt;br&gt;&lt;br&gt;&lt;li&gt;&lt;b&gt;MYTH NUMBER 2: TO BE ORGANIZED IS TO BE CLEAN.&lt;/b&gt;Once again, while you can be BOTH organized AND clean, those terms should not be confused. Cleaning means that  you're removing dirt, grime and otherwise preparing a sanitary surface. But, you can have the cleanest home or office on the block, and still be disorganized.&lt;br&gt;&lt;br&gt;&lt;li&gt;&lt;b&gt;MYTH NUMBER 3: TO BE ORGANIZED MEANS TO SCHEDULE EVERY MINUTE OF YOUR DAY.&lt;/b&gt;While scheduling appointments, projects you need to complete, chores, etc. is highly recommended, you certainly do not have to schedule 'every moment' of your day to be organized. 'Scheduling is the fine art of packing every day JUST FULL ENOUGH of the most useful activities.' Never overload it. Your schedule should always allow you time for spontaneity.&lt;br&gt;&lt;br&gt;&lt;li&gt;&lt;b&gt;MYTH NUMBER 4: ONLY CERTAIN TYPES OF PEOPLE CAN BE ORGANIZED.&lt;/b&gt;While there are a very small percentage of people who 'don't have the ability' to be organized, such as someone with a serious illness, most people CAN be organized. Being disorganized is not a disease, it is a decision. If you truly want to be organized, there are proven systems to help you. Once you know these systems and apply them every day of your life, you will be organized.&lt;br&gt;&lt;br&gt;&lt;li&gt;&lt;b&gt;MYTH NUMBER 5: BEING ORGANIZED TAKES LOTS OF TIME AND EFFORT.&lt;/b&gt;The truth is, it takes a lot less time and effort to be organized, than it does to be disorganized. Disorganization takes more time than you can imagine, and ensures that huge obstacles are always directly in the path of 'getting things done.' Getting and staying organized is not rocket-science. The systems and ideas, once learned, applied and practiced, can become as simple as brushing your teeth or combing your hair.&lt;br&gt;&lt;br&gt;&lt;li&gt;&lt;b&gt;MYTH NUMBER 6: EVERYONE I KNOW IS ORGANIZED, EXCEPT ME.&lt;/b&gt;Beware of this myth. Being organized is both an outer and inner trait. Unless you really know a person well, you really can't come to this conclusion. For example, someone may have a very neat home, but she is never on time. Another person may have an organized home, but his office filing system is out of control. My outgoing message may be kind of long, but there is always the option to hit the "*" key and bypass it.  In the message, I tell people they can leave a message, visit our website, or send me an email. I love my job but even as a single person I still want to enjoy time to myself and being with friends and family. How do you create time? By streamlining and eliminating work that your pastor would normally do. Imagine receiving a stack of letters requesting everything under the sun. As the pastor you must read each of them and decide how to proceed. Doesn't sound like fun, huh? &lt;br /&gt;&lt;br /&gt;Now imagine this same stack of letters with the important points highlighted so that you only have to skim through in order to get the main points. Go even further and imagine post-it notes on each letter with a very brief summary of what is being requested. Lastly, eliminate the stack and picture the letters in folders labeled to indicate what requires an immediate response and what can wait. Changes like these are minimal and quite simple, but add them up and over the course of a year, you will have saved your pastor countless hours of work. Our Spiritual Encounter youth conference grows every year and this year we had the largest attendance yet... probably about 9,000 teenagers! My boss is always EXTREMELY busy, which means I am too... but I love it!  Wouldn't trade it for the world.  It's all in a days work.&lt;br /&gt;&lt;br /&gt;Vacations aren't bad either :). I took a week off after the conference and did nothing but sleep and read. It was WONDERFUL!&lt;br /&gt;&lt;br /&gt;Every church is different, but the workloads are probably all the same (for us secretaries and assistants anyway).
